Executive Administrative Assistant – Contract

Our client in Waterloo is looking for an Executive Administrative Assistant to provide support on a 3-9 month contract basis, with the potential for permanent.

As the central point of contact for the President, the Administrative Assistant manages priorities, facilitates information flow, and ensures that meetings, materials, travel, and communications are handled with accuracy and discretion.
As the successful candidate, you will be the recipient of a salary between 45-65K depending on level of experience and a flexible hybrid work arrangement with 2-5 days working in the office!
Knowledge, Skills and Abilities:
- College diploma or certificate in Business Administration, Office Administration, Communications, or a related field.
- 1–2 years of administrative experience, preferably in a professional, office environment.
- Demonstrated ability to exercise discretion and sound judgment.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and business maturity.
- Ability to anticipate needs and work independently with minimal direction.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- High attention to detail and accuracy.
Duties and Responsibilities:
- Serve as the first point of contact for the President.
- Manage a complex calendar, balancing competing priorities.
- Provide confidential administrative support.
- Coordinate domestic and international travel, including itineraries and logistics.
- Prepare and reconcile expense reports in accordance with organizational policies.
- Build and maintain professional relationships with internal and external partners on behalf of the President.
- Attend weekly Senior Management Team and board meetings, prepare notes, track action items, and support follow-up.
