Medical Office Administrator – Contract
Overview
Our client, a doctor’s office in Kitchener, is looking for an Medical Office Administrator with training and experience in medical office admin AND with experience using MAC computers and PS Suites medical software!
This role will start out part-time for training for one month (M-TH, 12-5:30) and then switch to full-time, working Mon-Thurs 8:30-12:30 & 1:30-5:30 Fridays, 8:30-12:30.
This contract is set to continue from March 30th, 2026 until July 30th, 2027 if all goes well!
Hourly rate will be based on experience between $21.00-25.00/hour depending on experience.
Required Skills:
- Education and training in Medical Office Admin would be an ASSET.
- Minimum 5 years of experience working in a medical office is a MUST.
- MUST HAVE experience with MAC computers AND PS Suites
- Solid knowledge of alphabetical filing systems is REQUIRED.
- Excellent language and negotiating skills to optimize interactions with patients, staff
- Attention to detail in completing requisitions for patient testing and recording of same
- Patience, patience, patience in dealing with those who might not be feeling or acting their best
- A good sense of humour
Administrative Responsibilities:
- Greet patients, verify health insurance, answer patient inquiries,
- Prepare and load examining rooms as they become available,
- Book follow up appointments, imaging appointments and provide requisitions for lab work as directed by the physician, operate a MAC computer,
- Answer a 3-line phone system and record synopsis of each call to be followed up with next steps.
- Send & receive faxes and maintain fax machine (paper & ink supplies).
- Create bills for uninsured services and print receipts when paid.
- Monitor mailbox and distribute accordingly.
- Pull charts for the next day’s office and confirm all relevant reports are available (online or in paper format)
Medical Records Maintenance
- Maintain and update patient records (both electronic and paper charts) as directed
- File patient charts and reports as requested, file daily fax /mail reports once they have been reviewed by the physician.
- Edit patient charts as directed. Remove lapsed charts to long term storage as directed.
- Familiarize oneself with Telus Health PSSuites EMR software, maintain the confidentiality of patient information.
- A signed Confidentiality Agreement is a pre-requisite for the position.
